You must be at least 18 years old to use SofiaHelp. The platform is designed for individuals enrolled in or graduated from accredited clinical training programs, as well as early-career and licensed therapists seeking ongoing practice and supervision.
You are responsible for maintaining the confidentiality of your account credentials. You agree to provide accurate information during registration and to update it as necessary. Each account is for individual use only.
You agree to use SofiaHelp solely for clinical training, professional development, and educational purposes. You may not use the platform to provide actual therapy to real clients, share AI-generated feedback as professional clinical advice, or attempt to reverse-engineer the AI systems.
SofiaHelp offers free and paid subscription tiers. Paid subscriptions are billed on 30-day cycles (not calendar months) starting from your subscription date. Usage limits (minutes with AI agents) reset each billing cycle and do not roll over. You may cancel at any time; your plan remains active until the end of the current billing period.
All AI client profiles, supervisor algorithms, evaluation frameworks, and platform content are owned by Grotek, Inc. You retain ownership of any notes or reflections you create using the platform. Session transcripts are generated collaboratively and may be used in anonymized, aggregated form to improve our services.
You are responsible for any content you input during sessions. Do not include real patient data, personally identifiable health information, or confidential clinical records in your interactions with AI clients or supervisors.
Not a Clinical Service: SofiaHelp is an educational and professional development tool. It provides AI-powered practice and supervision for training purposes. AI clients and supervisors are simulations and should not be treated as real clinical encounters or formal clinical supervision required for licensure.
No Certification: Use of SofiaHelp does not confer any clinical certification, licensure hours, or academic credit unless explicitly arranged through your institution.
SofiaHelp is provided “as is” without warranties of any kind. Grotek, Inc. is not liable for any damages arising from your use of the platform, including but not limited to clinical decisions made based on AI feedback.
We may update these terms at any time. Continued use of the platform after changes constitutes acceptance. We will notify users of material changes via email.
These terms are governed by the laws of the State of Delaware, United States.
Account Data: Name, email address, role, institution (if applicable), and subscription information.
Session Data: Transcripts of your interactions with AI clients and supervisors, session duration, evaluation scores, and competency metrics.
Payment Data: Processed securely by Stripe. We never store your full credit card number.
Technical Data: Browser type, IP address, device information, and usage patterns for analytics and performance optimization.
We use your data to provide the platform services, generate evaluations and supervisor feedback, track your progress, improve AI accuracy, and communicate important updates. We may use anonymized, aggregated data for research and product improvement.
We share data only with essential service providers: Supabase (database hosting), Stripe (payments), ElevenLabs (conversational AI), OpenAI (evaluation analysis), and Postmark (transactional emails). We never sell your personal data to third parties.
We employ industry-standard security measures including TLS/SSL encryption for all data in transit, Row Level Security (RLS) at the database level ensuring strict data isolation between users, and regular security audits. No system is 100% secure, but we take data protection seriously.
Your data is retained as long as your account is active. Session data may be deleted at your request. Upon account deletion, personal data is removed within 30 days. Anonymized data may be retained for research purposes.
You have the right to access, correct, or delete your personal data at any time. You can export your session history and evaluation data. You may request a complete data export or deletion by contacting info@ohsofia.com. We respond to all data requests within 30 days.
SofiaHelp is not intended for use by individuals under 18. We do not knowingly collect data from minors.
We use essential cookies for authentication and session management. We do not use advertising or tracking cookies.
SofiaHelp is operated from the United States. By using the platform, you consent to the transfer of your data to the U.S. We comply with applicable data protection regulations including GDPR for European users.
