You must be at least 18 years old to use SofiaHelp. The platform is designed for adults using it for counseling education, simulated skills practice, or professional development.
You are responsible for maintaining the confidentiality of your account credentials. You agree to provide accurate information during registration and to update it as necessary. Each account is for individual use only.
You agree to use SofiaHelp solely for clinical training, professional development, and educational purposes. You may not use the platform to provide actual therapy to real clients, share AI-generated feedback as professional clinical advice, or attempt to reverse-engineer the AI systems.
SofiaHelp offers free and paid subscription tiers. Paid subscriptions are billed on 30-day cycles (not calendar months) starting from your subscription date. Usage limits (minutes with AI agents) reset each billing cycle and do not roll over. You may cancel at any time; your plan remains active until the end of the current billing period.
All realistic client profiles, generated-feedback designs, evaluation materials, and platform content are owned by Grotek, Inc. You retain ownership of any notes or reflections you create using the platform. Session transcripts are generated collaboratively and may be used in anonymized, aggregated form to improve our services.
You are responsible for any content you input during sessions. Do not include real patient data, personally identifiable health information, or confidential clinical records in your interactions with realistic AI clients or generated-feedback tools.
Not a Clinical Service: SofiaHelp is an educational and professional development tool. It provides AI-powered simulated practice and generated feedback for training purposes. AI clients and feedback perspectives should not be treated as real clinical encounters or formal clinical supervision required for licensure.
No Certification: Use of SofiaHelp does not confer any clinical certification, licensure hours, or academic credit unless explicitly arranged through your institution.
SofiaHelp is provided “as is” without warranties of any kind. Grotek, Inc. is not liable for any damages arising from your use of the platform, including but not limited to clinical decisions made based on AI feedback.
We may update these terms at any time. Continued use of the platform after changes constitutes acceptance. We will notify users of material changes via email.
These terms are governed by the laws of the State of Delaware, United States.
Account Data: Name, email address, role, institution (if applicable), and subscription information.
Session Data: Transcripts of your interactions with realistic AI clients and generated-feedback tools, session duration, evaluation scores, and competency metrics.
Training-Only Boundary: Do not submit real-client or patient names, case notes, recordings, medical records, protected health information, or other identifying details. SofiaHelp is not an electronic health record, telehealth service, or clinical documentation system.
Payment Data: Payment details are processed by a payment service provider. SofiaHelp does not store your full payment card number.
Technical Data: Browser type, IP address, device information, and usage patterns for analytics and performance optimization.
We use your data to provide practice sessions and generated feedback, maintain your progress history, improve the service, and communicate important updates. We may use anonymized, aggregated data for research and product improvement.
We disclose data only when needed to provide the service, process payments, deliver communications, support AI-powered simulations and feedback, measure the marketing site as described below, meet legal obligations, or protect the service. Providers acting on our behalf are limited to the relevant purpose and contractual terms. Google Analytics may also receive limited cookieless measurement from the marketing site before you make a choice, as described below. We do not sell personal data.
We use technical and organizational safeguards appropriate to the service, including encryption in transit, access controls, and data isolation. No system is completely secure. Institutional buyers may request current privacy and security materials as part of a scoped procurement review.
Your data is retained as long as your account is active. Session data may be deleted at your request. Upon account deletion, personal data is removed within 30 days. Anonymized data may be retained for research purposes.
You may request access to, correction of, or deletion of your personal data, subject to applicable law and necessary account verification. You may request a copy of relevant account and session data or deletion by contacting info@sofiahelp.com. We respond to all data requests within 30 days.
SofiaHelp is not intended for use by individuals under 18. We do not knowingly collect data from minors.
We use essential storage for authentication and session management. On the marketing site, the Google tag loads with analytics and advertising storage denied. Before you allow analytics, Google Analytics may receive limited cookieless measurement, but analytics cookies are not written. If you select “Allow analytics,” analytics storage is granted and analytics cookies may be used for fuller reporting. Advertising storage, advertising user data, personalized advertising, and Google Signals remain disabled in either case. Your choice is stored for up to six months and may be requested again if our analytics use changes. You can withdraw or grant consent at any time using the “Cookie settings” link in the site footer.
SofiaHelp is operated from the United States, and data may be processed in the United States. Data-protection rights and transfer requirements depend on your location and how the platform is used. We handle requests and transfers in accordance with applicable law and our contractual obligations. Contact us before an institutional rollout if your organization has specific residency or transfer requirements.
